Invoice check: match it against the order and delivery note before you pay.
The invoice arrives, the total looks plausible, the approval goes through. Whether the quantity is right, the price matches the order and nothing was charged that was never ordered is rarely checked in day-to-day business. This guide shows how to match invoice, order and delivery note. The invoice detective does the arithmetic.
Three checks per day free, no account. Invoice and order are read for the check only and discarded afterwards. Not tax advice.

03Six checkpoints
Check every invoice for these points.
The invoice detective goes through exactly these points, line by line.
- Quantity against the delivery noteWhat may be invoiced is what was delivered. Put the delivery note next to it: missing or damaged items do not belong on the invoice. In the tool you enter the goods receipt, for example “40 units delivered, 2 damaged”.
- Price against the orderEvery line at the agreed price from the order, offer or contract. Small deviations per unit add up over the year.
- Lines that were not orderedSurcharges, freight, flat fees or extra services that were not agreed are clarified before you pay. The same goes for ordered items that were not invoiced at all: they often come later.
- Check the arithmeticDoes the sum of the lines equal the net amount, net times tax rate the tax, and net plus tax the gross amount?
- Mandatory invoice contentInvoice number, invoice date, tax or VAT number, date of delivery or service, tax rate, net and gross amount. If something is missing, ask for a corrected invoice and take tax questions to your tax adviser.
- Due date and early payment discountWhen is the invoice due, is there a discount, and until when? Checking before the discount period ends means you do not lose the discount just because a query is open.
04Approach
How invoice checking works in your business.
- Order in writing: without an order, offer or contract there is no yardstick. Record quantity and price before you order.
- Check the delivery note at goods receipt: count, note damage, sign. This note is your evidence later.
- Check invoice, order and goods receipt together: upload the invoice and the order or contract and enter the goods receipt. The detective matches line by line and recommends: approve, clarify or reject.
- Send the query right away: the detective writes the query to the supplier, to copy or as an email. The sooner it goes out, the easier the correction.
- Know the limits: the detective is a checking aid based on your documents, not tax advice. Approval follows your internal rules.
05Questions and answers
What businesses ask us most often.
What does the invoice detective check?
It matches the invoice line by line against the order or contract, quantity and price, checks the total, tax and gross amount, checks mandatory invoice content, shows the due date and early payment discount and recommends: approve, clarify or reject. It also writes the query to the supplier.
Can I match the delivery note too?
Yes. Enter the quantity delivered according to the delivery note in the goods receipt field, for example “40 units delivered, 2 damaged”. The detective then shows ordered, received and invoiced for each line.
Which documents can I upload?
The invoice as PDF or photo, or you paste the text. You can add the order or contract. In the free version AICTIONBOT™ reads up to 3 pages per document, with the Workbench licence long documents too.
Are invoice and order stored?
No. Both are read for this check only and discarded afterwards. You do not need an account.
Is this tax advice?
No. The invoice detective is a checking aid based on the documents provided. Take tax questions to your tax adviser; approval follows your internal rules.
What happens when the three checks are used up?
You get a local check without AI: it searches for mandatory content and amounts. The line-by-line match needs the AI.
What does the check cost?
Three AI runs per day are free. The Workbench licence at €14.99 per month or €149 per year lifts the daily limit and reads long documents. You can try it free for 7 days, no card. For a single case there is the single check for €1.99 net (one tool, one run) or the day pass for €3.99 net, valid for 24 hours.
